Group 01 · 6 questions

Working with us

Do you build inside my GoHighLevel account or yours?+
Yours. We work in your sub-account under access you grant and can revoke, so the workflows, calendars, numbers and contact records are already where they belong. There is no migration at the end and nothing of yours sitting in an account we control.
Do I need my own GoHighLevel account already?+
Yes, or an agency account that can create one for you. We do not resell GoHighLevel and we do not put you on our plan, because that would make us the owner of your account and the whole point here is that you own it. If you are not on GHL yet we will tell you which plan tier your build actually needs rather than the biggest one.
What do you need from me to start?+
User access to the sub-account, your legal entity details for registration, and about an hour of your time to answer questions about how you want calls handled. If we are building a voice agent we also need to hear how you talk to your own customers, so a few call recordings help more than a brief.
How long does a build take?+
Most builds run two to four weeks of our work. The variable is not us: A2P registration sits with the carriers and can add days or, occasionally, a couple of weeks. We give you a delivery date for the parts we control and we tell you plainly which parts we do not.
Do you work with agencies or with end businesses?+
Both. Agencies usually want a snapshot they can roll out across client sub-accounts, and single businesses usually want one account built properly. The work is the same; the packaging differs.
What do you not do?+
We only build in GoHighLevel. We do not do paid ads, we do not write your offer, we do not do brand or logo design, and we do not run your sales team. We also do not take on work where the answer is really "you need a different platform" — we will say so and not charge you to find out.

AI voice agents

What is an AI voice agent, in GoHighLevel terms?+
A voice that answers or places calls on your own LC Phone numbers, follows the script and rules you agreed, and writes what happened back into GoHighLevel as an appointment, an opportunity, a note and a transcript. It is not a separate product you log into. It is a component of your account.
Will callers know they are talking to AI?+
Most do not. Current voice models handle interruptions, mid-sentence corrections, background noise and a wide range of accents.

Some callers do spot it, and we would rather say that than pretend otherwise. During your build you can ring the agent as often as you like and we tune it until it sounds right. If you want it to declare itself as an assistant, we set that in the opening line, and in some jurisdictions you should.

What happens if the agent cannot answer a question?+
It hands over to a person, on request or automatically on topics you nominate. The call is still logged with a full transcript, so whoever picks it up knows what has been said and the caller does not have to start again. If nobody is available it takes a message and books a callback rather than guessing.
Can it call people, or only answer?+
Both. Inbound cover for calls you would otherwise miss, and outbound for speed-to-lead, reactivation of old lists, and appointment reminders or rescheduling. Outbound calling has its own compliance rules depending on where you and your leads are, and we will set the calling windows accordingly.
How fast does it call a new lead?+
We target under sixty seconds from the form submission or the missed call. It then retries on a schedule you set rather than ringing once and giving up. The number that actually moves booked rate is not the first call, it is the fifth.
Can I choose the voice?+
Yes. You pick from the available voices and sign it off before launch. You also set pace, how formal it is, and whether it uses the caller's name. We do not clone a specific person's voice without that person's written consent.
What happens if two people call at once?+
Both get answered. That is the main practical advantage over a receptionist: concurrency costs you usage, not a second hire. There is no queue and no hold music unless you specifically want one.
Does it handle accents and people talking over it?+
Generally yes, and noticeably better than the phone trees people are used to. It is not perfect: very heavy background noise, poor mobile reception and several people speaking at once still cause trouble, the same as they would for a human. We set it to ask the caller to repeat rather than guess, and to hand to a person after two failed attempts.

Conversation AI

Which channels can the AI answer on?+
SMS, WhatsApp, Instagram DMs, Facebook Messenger and web chat, all landing in the GoHighLevel conversations inbox. Each channel has its own connection requirements — WhatsApp needs a Business account, Instagram and Facebook need the pages connected — and we set those up as part of the build.
Is it the same agent across SMS, WhatsApp and voice?+
Same knowledge and same rules, different phrasing. A voice agent has to be brief and cannot read a list out loud; a chat agent can send a link. We write one source of truth for what is true about your business and then tune tone per channel.
Can it book appointments from a text conversation?+
Yes. It checks live calendar availability, offers real slots, and writes the appointment against the right team member. It does not offer a time it cannot actually book, which is the failure mode of most chat widgets bolted onto a calendar.
What stops it saying something wrong?+
Three things: a tight knowledge base rather than an open-ended one, explicit refusal rules for topics you nominate such as pricing, medical or legal specifics, and a hand-off to a person when it is unsure.

It is a language model, so we will not tell you it can never say anything wrong. We will tell you it is constrained, logged and reviewable, and that you should read the transcripts for the first fortnight.

Can I take over a conversation mid-way?+
Yes. Anyone on your team can reply from the inbox and the agent steps back automatically for that conversation. You can also set it to pause on certain keywords, or only run outside your office hours.

A2P, 10DLC and phone numbers

What is A2P 10DLC and why does it matter?+
It is the registration that US carriers require before a business can send SMS from a standard 10-digit number. Without it your messages are heavily filtered or silently dropped. It is not a GoHighLevel rule, it is a carrier rule, and it applies wherever you send from.
Can you register my numbers?+
Yes, and it is the single most common reason people contact us. We file the brand and the campaign, write the opt-in language and the HELP and STOP flow to pass review, provision the numbers, attach them to the approved campaign and test delivery on real handsets before calling it done.
How long does A2P approval take?+
Most brands clear in a few days. Some take longer. We will not give you an approval date, because nobody in this chain can honestly give you one.
What gets a registration rejected?+
Usually one of four things: the entity name or EIN not matching the registry exactly, opt-in wording that does not describe what people are actually consenting to, a website with no visible privacy policy or no consent checkbox on the form, or sample messages that do not match the stated use case. All four are avoidable, which is why we file it rather than you.
What happens if it is rejected?+
We read the rejection reason, fix it and resubmit, at no extra charge. That is part of the build price rather than a change request. Resubmission usually means correcting wording or a mismatch, not starting again.
Can I send SMS before registration is approved?+
Technically the messages will leave. Practically most of them will not arrive, and unregistered sending can get the number blocked. We do not recommend it and we will not build a launch plan that depends on it.
Do I need a separate number for the AI agent?+
Not necessarily, but it is often worth it. A dedicated number keeps the agent's call and message volume separate from your main line in reporting, and means you can turn it off without touching the number on your business cards.
Can you port my existing number into LC Phone?+
Usually. Porting depends on your current carrier releasing the number and the details on the account matching exactly. It takes a couple of weeks and there is a window during the switch when routing needs watching, so we plan ports rather than doing them on a Friday afternoon.

What we do not control

The carriers decide, not us. We can file a registration correctly the first time, fix it if it comes back, and tell you exactly why it was queried. We cannot make the review faster and we cannot guarantee an outcome.

Anyone who promises you an A2P approval date is either guessing or has not done many of them.

Group 05 · 4 questions

Email deliverability

Why are my emails going to spam?+
Usually authentication that was never set up, a domain with no sending history being used at volume on day one, or a list that produces bounces and complaints. Occasionally it is the content. We check all four rather than guessing, because the fix is different for each.
What are SPF, DKIM and DMARC, and do I need all three?+
They are DNS records that let a receiving mail server verify that you actually sent the message. Yes, you need all three. Gmail and Yahoo now require authentication for bulk senders, so this stopped being optional.
Can you fix a domain that is already burned?+
Sometimes, and it is slow. Reputation recovers by sending small volumes to people who actually open, over weeks. If a domain is badly damaged the honest answer is often to move sending to a subdomain and rebuild from there, and we will tell you that rather than sell you a warm-up that will not work.
How many emails can I send on day one?+
On a brand new sending domain, far fewer than you want to. We ramp over two to four weeks, starting with your most engaged contacts. Sending fifty thousand cold emails from a week-old domain is the fastest way to end up where you started.

Sub-accounts, snapshots and migrations

What is a snapshot and why do I want one?+
A snapshot is a packaged copy of a sub-account's workflows, pipelines, calendars, forms and funnels that can be loaded into another sub-account. If you run an agency it turns a two-week setup into an afternoon. If you run one business it is your backup and your version history.
Can you move me from another CRM into GoHighLevel?+
Yes. Contacts, custom fields, tags, notes, pipeline stages and appointment history where the source system will export them. What rarely comes across cleanly is call recordings and threaded email history, and we will tell you up front what will and will not survive the move.
Will I lose my history if I migrate?+
Not the parts that matter, if it is planned. We map fields before we move anything, run a test import on a copy, and have you check it against the old system before we cut over. Migrations go wrong when somebody imports a CSV into a live account on the first attempt.
Can you rebuild a sub-account someone else broke?+
Yes, and a fair amount of our work is exactly this. We audit what is there first and give you a straight answer about whether repairing it or rebuilding it is cheaper. Sometimes the honest answer is rebuild, and we will show you why rather than assert it.
Can I roll the same build out to multiple clients?+
Yes, that is what the snapshot is for. We build it once, package it, and document what has to change per client — numbers, calendars, business details, the agent's knowledge. Registration is per client and cannot be copied, because the brand is theirs, not yours.

Workflows, pipelines and calendars

Can you fix workflows someone else built?+
Yes. The usual problems are workflows that fight each other, triggers that fire twice, and no clear owner for a contact's status. We map what exists, find the collisions, and document the result so the next person does not have to work it out from scratch.
Can the calendar handle a team, not just one person?+
Yes. Round robin, priority routing, per-user availability, buffers, minimum notice and different appointment types with different durations. We also set what happens when nobody is free, which is the case most setups forget.
Can you connect GoHighLevel to something outside it?+
Within reason, using GoHighLevel's own webhooks, inbound webhooks and API, plus the native integrations for Stripe, Google Business Profile, Meta and the calendar providers. If a project genuinely needs a general-purpose automation platform sitting between systems, that is outside what we do and we will say so rather than build something fragile.
What happens if GoHighLevel changes something?+
The platform does change, and occasionally it breaks something. Because the build lives in your account and is documented, you or any competent GHL developer can fix it. If you would rather we did, buy support hours. There is no standing retainer that you pay whether anything breaks or not.

Sites, funnels and memberships

Do you build funnels and websites too?+
Yes, inside GoHighLevel, wired into the automations from the first day rather than bolted on afterwards. Forms that actually tag correctly, thank-you pages that trigger the right workflow, and tracking that survives somebody editing a page later.
Can you build a course or membership area?+
Yes. Courses, memberships, communities, drip content and paid access through Stripe, all in the platform you already pay for. Whether GoHighLevel memberships are the right home for a large course library is a fair question, and we will give you a straight answer for your case.
Will the site be fast?+
Faster than most GHL sites, because we keep the page weight down and do not stack six tracking scripts and a chat widget on top. It will not beat a hand-built static site, and if raw speed is the priority above everything else we will tell you that GoHighLevel is the wrong tool for that one page.

Pricing, ownership and support

How much does a build cost?+
Every build is scoped and quoted individually, and you have a fixed price in writing before anything starts. A single-line inbound agent and a multi-department outbound caller are not the same product, and publishing one price for both would mean somebody is being overcharged.
Do I pay a monthly subscription?+
No. No monthly rental, no lock-in, no retainer. Subscription is a fine model for the vendor and a poor one for you if the agent runs for years, because you pay forever and own nothing at the end. We build it once and hand it over.
What are the running costs after handover?+
Your GoHighLevel subscription, which you already pay, and usage: call minutes, SMS segments and AI API calls. Those are billed by the providers on what you actually use, at their published rates, with nothing added by us. We will estimate them for your expected volume before you commit.
What if I need changes later?+
Buy hours when you need them. Or have someone else do it, or do it yourself — it is your account and it is documented well enough that you have a real choice. Our own test is whether another developer could pick it up tomorrow without us. They could.
